Objective

To create, assign and track corrective actions requiring evidence collection directly from within the FYLD app.

Background

You can assign specific follow-up or corrective actions within FYLD to ensure nothing is missed. This replaces scattered or paper-based methods with a single digital record, improving accountability and enabling easy tracking.

By requiring supporting evidence such as photos or videos, FYLD ensures that work is completed correctly and thoroughly documented. Assigning Actions is an efficient way to manage accountability, streamline closeout, and support robust reporting.

Types of Actions

Corrective Actions

  • Created in response to issues identified on site

  • Assigned to a specific team member

  • Include clear instructions on what needs to be done.

  • Can include required evidence (photo or video) to verify completion

Preventative or Planned Actions

  • Used for proactive work or scheduled follow-up

  • Helps ensure hazards are properly mitigated

  • Assigned in advance to ensure tasks are not overlooked

Evidence Requirements

  • Each action can require specific evidence

  • Users must upload photo or video proof to mark an action complete

  • Evidence is permanently linked to the action on the job timeline

  • Managers can review evidence in FYLDCloud to verify closeout​

How to Assign Actions

Steps to assign an action

In the FYLD app:

  1. Click on a job to enter.

  2. Tap the + symbol to see the menu of options.

  3. Select Assign Action.

  4. Fill in the action details:

    • Description of the required task

    • Assignee (person responsible)

    • Due date or priority (if applicable)

    • Evidence requirement (photo or video)

  5. Tap Assign to confirm.

    Once assigned, the action will appear on the job timeline and in the assignee’s task list.


Steps to complete an assigned action

In the FYLD app:

  1. To view your assigned actions you can do either of the following:

    1. Navigate to the Activity page by clicking the bell icon

      1. Note the number next to the bell icon, indicates your assigned actions which have yet to be completed.

  2. Tap on the bell icon to view details of your assigned actions, and which actions have previously been completed, at the bottom of the screen. This page will indicate any actions assigned which are pending or overdue. Note: overdue tasks will be displayed at the top of the list.

  3. Clicking into the action assigned, will provide the overview of when its required by, and prompt you to 'Start' the evidence flow. You would also see any media attached by the assigner that is relevant to the task. For example - screenshots of documentation or instructions. Comments from the assigner will also be displayed here.

  1. Complete the required work.

  2. Capture the required photo or video evidence in-app.

  3. Tap Complete to close out the action.

The action will update on the job timeline and in the assignee’s view to show as completed, including the evidence provided.
